Job Description for the Project Co-Ordinator

 

Job Purpose:

To develop Bere Island, socially, culturally and economically through the implementation of the 3-year work plan.

Reporting:   The development worker reports to staff sub committee fortnightly on progress made. 

 Duties of the Post:

Co-ordinating: To oversee the overall activities of the project and the further development of a resource centre.

Target relevant groups individuals to facilitate training/ awareness raising on the concept of community development 

Networking To liase with statutory bodies, voluntary and private agencies in the area.  

 Build co-operation between groups on the island 

To liase with local groups and co-ordinate their efforts to help them with the implementation of their work plan for the development of the Island.

To co-ordinate the sharing of information between different groups.

Where a need is identified, to work with the Management Committee in initiating activities/initiatives for target groups.

Public Relations

To actively promote a positive public image for the project through networking and representation at local regional and national community development events.

To work with the Management Committee in the development and implementation of a PR strategy within the organisation.

Record the work of BIPG and participate with the Management committee in the production of annual reports, newsletters and any other reports/publications in relation the projects work as may be required. 

Internal BIPG support and development

Engage with Management Committee in planning reviewing and evaluation of the BIPG’s work.

Facilitate the management committee in identifying their support and training needs.

Identification of suitable funding for projects and application for same.

Develop substructures on the Management Committee and policy, which reflects best practice in the CDSP.

Support management Committee in running effective meetings

 

Finance

To work with the Project Administrator to ensure financial accountability by ensuring that:

-          The keeping of books is in order

-          Financial reporting to funders is completed in a timely manner.

-         Financial Sub committee are enabled to submit financial reports to the broader management structure

 

Information centre in the office for private individuals with ideas for community or private ideas

Provide on going Support information and advice to such individuals/groups and refer to Management committee where necessary.

Ideas be recorded initially, and acted upon if considered appropriate by the staff sub-committee and management committee. 

Supervision

Working as a team, engage in allocation of work for the administrator.

Provide support & supervisor to the administrator and other future employees within the project if required to do so by the Management Committee.

Job Description for the Project Administrator

 

 Job Title: Project Administrator

 Reporting to:

Project Co-ordinator and BIPG Staff Sub Committee

 Responsibilities:

                        The efficient daily running of the BIPG office and direct support for the Project Co-ordinator in carrying out the BIPG Work Plan as agreed with the Department of Community, Rural and Gaeltacht Affairs.

 Tasks

  1. To undertake the administration of all agreed office routines including mail, telephone messages, e-mail and other communications.
  2. To supervise and maintain designated office filing and record keeping systems.
  1. To encourage involvement of all in the work of BIPG and deal with individuals and organisations in contact with BIPG office in a courteous and efficient manner
  2. To undertake such written or verbal communication with individuals and organisations as may be assigned by the Project Co-ordinator
  3. To have day-to-day charge of the use of all equipment designated for public use including the collecting of fees for services, giving change and receipts, and the keeping of relevant records.
  4. To undertake work on individual projects as assigned by the Management Committee/Project Co-ordinator
  1. To attend meetings as directed in order to represent BIPG and to report outcomes.
  1. To participate in appropriate training which will enhance job performance or aid personal development.
  1. Work with Financial committee to ensure all bookkeeping and financial reports are well developed and transparent.
  1. Be responsible as a member of BIPG for supporting Management Committee in implementation and development of work plan
  1. Promote the work of BIPG at local regional and national events.
  2. To undertake such variations in duties as BIPG may assign from time to time
